Health and Safety Policy for Cleaners W14
This Health and Safety Policy sets out how Cleaners W14 manages the wellbeing of employees, subcontractors, clients and members of the public while providing cleaning services. Our aim is to prevent accidents, protect health and maintain safe working environments in all properties where we work.
1. Policy Statement and Scope
Cleaners W14 is committed to providing a safe and healthy workplace and to conducting all cleaning activities in a way that minimises risk. This policy applies to all staff, including part-time and temporary workers, supervisors, contractors and any person who carries out cleaning tasks on our behalf.
Health and safety is an integral part of our service delivery in residential and commercial premises. All staff must follow this policy as a condition of working with Cleaners W14.
2. Responsibilities
Senior management is responsible for ensuring that effective health and safety arrangements are in place, that this policy is implemented and reviewed, and that adequate resources are provided for training, supervision and equipment.
Supervisors are responsible for monitoring day-to-day compliance with this policy, checking that risk assessments are carried out where required, making sure staff use equipment correctly and reporting any concerns or incidents to management.
Employees and contractors are responsible for taking reasonable care for their own health and safety and that of others who may be affected by their work. They must follow all instructions, use protective equipment provided, report hazards and co-operate with any investigation or review.
3. Risk Assessment and Planning
Before starting work at any new site, we will assess significant risks associated with the tasks to be carried out, the layout of the premises and any specific client requirements. We will identify control measures to reduce risks as far as is reasonably practicable.
Risk assessments will consider slips, trips and falls, manual handling, use of chemicals, electrical equipment, lone working, working at height for low-level cleaning tasks and any site-specific hazards. Assessments will be reviewed if work processes change or if there is an accident or near miss.
4. Safe Use of Chemicals and Cleaning Products
All cleaning products will be used and stored in line with manufacturer instructions and relevant safety data. Containers must be clearly labelled and kept securely when not in use. Staff are not permitted to decant chemicals into unlabelled bottles.
Where hazardous substances are used, specific control measures will be followed, including adequate ventilation, appropriate personal protective equipment, and safe disposal methods. Staff will receive training on safe handling, dilution, mixing and emergency procedures in case of spills or skin and eye contact.
5. Personal Protective Equipment
Cleaners W14 will provide suitable personal protective equipment, which may include gloves, eye protection, masks, aprons and non-slip footwear, depending on the task. Staff must wear the protective equipment provided whenever it is required and must take care of it, reporting any defects or damage immediately.
PPE must be stored correctly, kept clean and replaced when worn out or no longer effective. It is not to be shared between workers unless it is designed for safe shared use and has been cleaned appropriately.
6. Manual Handling and Use of Equipment
Tasks that involve lifting, carrying, pushing or pulling loads will be planned to minimise strain. Heavy or awkward items should be moved using trolleys or similar aids wherever possible. Staff will be trained in safe lifting techniques and must not attempt to carry loads that are beyond their capability.
All cleaning machinery and electrical equipment, including vacuum cleaners, floor machines and extension leads, must be inspected regularly and used only for their intended purpose. Damaged or faulty equipment must be removed from use and reported without delay.
7. Site Safety and Slips, Trips and Falls
Work areas must be kept as tidy as possible during cleaning. Wet floors will be identified with warning signage. Staff will position equipment and leads to reduce trip hazards and avoid blocking fire exits, stairways, corridors or access to essential services.
Particular care will be taken when working on stairs, in entrance areas and in spaces used by vulnerable persons. Staff must wear suitable footwear and must not run while carrying equipment or chemicals.
8. Lone Working and Security
Where staff work alone, especially outside normal hours, additional precautions will be taken. This may include agreed check-in procedures, ensuring doors are secured from unauthorised entry and confirming that staff know how to raise an alarm in an emergency.
Lone workers must remain aware of their surroundings, avoid unnecessary risks and follow any site-specific security procedures agreed with the client.
9. Welfare, Health and Hygiene
Staff are expected to maintain high standards of personal hygiene. Hand washing facilities or suitable alternatives must be used regularly, especially after handling waste, chemicals or contaminated materials and before eating or drinking.
Any health condition that may affect safe working, such as skin allergies to certain products or reduced mobility, should be reported so that reasonable adjustments and alternative methods can be considered.
10. Incident Reporting and Investigation
All accidents, injuries, near misses, property damage and dangerous occurrences must be reported to a supervisor or manager as soon as possible. Details will be recorded and investigated to identify causes and to prevent recurrence.
Staff are required to co-operate fully with any investigation, providing accurate information and suggesting practical improvements where appropriate.
11. Emergency Procedures
Cleaners W14 will agree emergency arrangements with clients for each site where we work, including fire procedures, first aid provision and evacuation routes. Staff must familiarise themselves with these arrangements on arrival and follow instructions given by site management or emergency services.
In the event of fire, gas leak or other serious incident, staff must stop work immediately, leave the area by the nearest safe exit and report to the designated assembly point without attempting to collect personal belongings or equipment.
12. Training, Communication and Review
All staff will receive appropriate induction and ongoing training covering this policy, site-specific risks, safe systems of work and the correct use of equipment and chemicals. Additional refresher training will be provided where necessary.
This Health and Safety Policy will be communicated to all workers and made available to clients on request. It will be reviewed regularly and updated as required to reflect changes in law, industry best practice, our operations and the feedback we receive from staff and clients.
